Payment workflows

A clearer path from booked to paid.

A deposit request or payment reminder should explain what the customer is paying for and where to go next. Keep the workflow connected to the business process your team already uses.

A practical workflow

Built around what
happens next.

Define the questions, the action, and the person who takes over. Then test the process with your team.

01

Start with an approved payment request

Confirm the amount, purpose, provider, and who is authorised to send the request. An intake conversation should not invent a deposit, fee, or balance.

02

Use your payment provider’s checkout

Plan a hosted payment-link workflow instead of asking customers to send card details in a conversation. Supported providers and the exact handoff are reviewed during setup.

03

Define reminders and exceptions

Agree when reminders are appropriate and who handles disputed amounts, refunds, or failed payments. A message saying a link was sent is not proof that payment was received.

Clear from the start

What we confirm with you.

  • Payment workflows are included in Growth.
  • Provider support, transaction fees, and confirmation handling are confirmed before rollout.
  • Card details should not be collected in free-text messages or front-desk intake.
